Outreach for Healthy PlanEat
Rosemary Ostfeld founded Healthy PlanEat, a Connecticut online farmers market. She wanted to bring more local farms, schools and YMCAs into her network, but had no way to see who was nearby, write to them at scale, or keep track of who answered. We built her a private tool for exactly that.
Outreach for Healthy PlanEat
A private outreach tool that helps an online farmers market find organic farms, schools and YMCAs near each other, and invite them in. From idea to working tool in 6 days.
The Challenge
The names and contacts of certified organic farms are public, but they sit in long lists with no map. Nothing shows which farms are close to a YMCA or a school, which is exactly the question a local farmers market needs answered.
Reaching out by hand does not scale either. Every email is written one at a time, and weeks later nobody remembers who was contacted, who replied and who joined. The goal was one simple tool that answers three questions: who is nearby, who have we written to, and what happened next.
What We Built
- A map with a radius: Pick a YMCA, set a distance, and see every certified organic farm and school inside the circle, with the full list underneath
- National data in one place: 16,969 USDA organic farms, 101,183 schools and 2,478 YMCAs, merged from three public sources and ready for every state
- Personal emails at scale: One email per contact from a template, with the farm's name filled in. Create Gmail drafts to review, or send with a confirmation step
- Tracking that updates itself: Contacted, responded and onboarded come from sent emails, replies in Gmail and the market's own farm list. A pipeline view shows the numbers and charts for any date range
- Safe by default: A test mode, a do-not-contact switch, one email per YMCA contact, and a log of every change with a name and a time
Going Beyond
- Built for non-technical users: Simple filters, clear status colors and a step-by-step guide, so the founder can run it herself
- Her data stays hers: The tool is delivered as a small package. It runs in her own Claude account with her own Gmail, or offline in her browser
- Honest about the data: Sites that need review are hidden by default, and farms are placed at ZIP code level
The Results
- From idea to a working tool in 6 days
- 16,969 organic farms, 101,183 schools and 2,478 YMCAs searchable in every state
- One package the client can start using on her own
